Privacy Policy

This Privacy Policy explains how Salesrobot (“Salesrobot,” “we,” “us,” or “our”) collects, uses, and protects personal data when you use our platform and services. We are committed to being transparent about our data practices and respecting your privacy rights.
1. Information We Collect
1.1 Account Information
When you create a Salesrobot account, we collect your name, email address, company name, and billing information. This information is required to provide the service.
1.2 LinkedIn Account Data
To provide automation services, Salesrobot connects to your LinkedIn account via LinkedIn's mobile API endpoints. We store authentication tokens and process publicly available LinkedIn profile data of your prospects (names, job titles, companies, public posts) solely to operate your outreach campaigns.
1.3 Usage Data
We collect data about how you use the platform — campaign performance metrics, message send/reply rates, feature usage patterns — to improve the product and provide analytics within your dashboard.
1.4 Technical Data
We collect IP addresses, browser type, device identifiers, and log data for security monitoring and fraud prevention. This data is not used for advertising.
2. How We Use Your Data
2.1 Service Delivery
We use your data to operate your campaigns, sync with your connected CRMs, deliver AI-generated message suggestions, and maintain account safety monitoring.
2.2 Service Communications
We send transactional emails (account alerts, billing receipts, campaign summaries). You may opt out of marketing communications at any time via the unsubscribe link in any email.
2.3 Product Improvement
Aggregated and anonymized usage data informs product decisions, AI model improvements, and feature prioritization. Individual messages and LinkedIn profile data are never used to train models without explicit consent.
2.4 Legal Obligations
We may process your data to comply with applicable laws, respond to lawful government requests, or enforce our Terms of Service.
3. Data Sharing
3.1 Third-Party Processors
We share data with trusted service providers who operate under data processing agreements: payment processors (Stripe), cloud infrastructure (AWS), email delivery, and analytics services. These providers are contractually restricted from using your data for any purpose beyond delivering services to Salesrobot.
3.2 CRM Integrations
When you configure CRM integrations (HubSpot, Salesforce, Pipedrive, etc.), prospect conversation data is synced to those platforms at your direction. The data governance of those platforms is subject to their own privacy policies.
3.3 No Sale of Personal Data
Salesrobot does not sell, rent, or trade your personal data to third parties for marketing purposes. This applies regardless of jurisdiction.
4. Data Retention
4.1 Active Accounts
We retain your data for as long as your account remains active or as needed to provide services.
4.2 Account Cancellation
Upon cancellation, your account data is retained for 30 days to allow reactivation. After 30 days, personal data is deleted from active systems. Anonymized aggregated data (campaign statistics without personal identifiers) may be retained for product analytics.
4.3 Legal Hold
We may retain data longer where required by applicable law, regulation, or ongoing legal proceedings.
5. Your Rights
5.1 GDPR Rights (EU/EEA Users)
If you are located in the EU or EEA, you have the right to access, correct, delete, restrict processing, object to processing, and port your personal data. You also have the right to lodge a complaint with your local data protection authority.
5.2 CCPA Rights (California Users)
California residents have the right to know what personal information is collected, the right to delete personal information, and the right to opt out of sale (Salesrobot does not sell personal data). We do not discriminate against users who exercise these rights.
5.3 Exercising Your Rights
To exercise any of these rights, contact us at privacy@salesrobot.co. We will respond within 30 days. Identity verification may be required before processing requests.
6. Security
6.1 Technical Measures
We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, access controls, and regular security audits.
6.2 LinkedIn Authentication
Salesrobot stores LinkedIn authentication tokens in encrypted form. We do not store your LinkedIn password. Tokens can be revoked at any time from your Salesrobot account settings or directly from LinkedIn's security settings.
6.3 Breach Notification
In the event of a data breach affecting your personal data, we will notify you and applicable regulatory authorities within the timeframes required by applicable law.

Policy Updates
We may update this Privacy Policy. Material changes will be communicated via email to registered users at least 14 days before taking effect. Continued use of the service after the effective date constitutes acceptance of the updated policy.
